The Challenge

Both Halcyon Grand and The Residences at Payton Place faced a common hurdle: providing a premium coffee experience that residents would actually use, without creating extra work for staff.

Halcyon Grand’s community manager, Carrie Jo Stoneman-Vanderlaan, knew the stakes. “I’ve been in property management for 25 years, and I’ve seen every setup, from traditional coffee pots to Starbucks systems and Keurigs,” she said. “What I appreciate most about SipWithMe is that it doesn’t create a lot of waste like other systems do.” She noted these solutions were plagued with chronic issues, including high operating costs and unreliable equipment that required constant attention.

At The Residences at Payton Place, Property Manager Tayler Kukulka-Hilsabeck was trying desperately to keep pace with residents’ busy, on-the-go lifestyles, which seemed to be fueled entirely by caffeine. The manual restocking, frequent service calls and demanding operational upkeep of the property’s existing coffee service placed an unsustainable strain on staff time, and they needed relief without sacrificing quality.

At Halcyon Grand, the machine blends seamlessly into the property’s sleek, hotel-inspired coworking space. “It looks great in our coworking area. Very in line with the property’s overall design,” said Stoneman-Vanderlaan. Beyond its aesthetics, the system has simplified daily operations. “Ease of ordering, communication and resolutions is everything. We’re so busy day to day, so having a vendor that makes it easy really matters,” she noted.

At The Residences at Payton Place, convenience was the priority for a lobby constantly full of busy professionals. “Our residents love not having to leave the building to grab coffee. It’s super easy to use, and I see people stopping by all day long,” Kukulka-Hilsabeck said. Automated supply replenishment removed the burden of inventory management and supply ordering. “The automatic shipping of materials is fantastic. It’s one less thing I have to think about.”

SipWithMe has also become a daily touchpoint for engagement, giving staff moments to connect with residents over coffee. “It’s great to be able to see someone stop for coffee and have that personal connection. It creates opportunities to chat with residents and build rapport,” Kukulka-Hilsabeck explained.

Across both properties, SipWithMe’s Cup Allowance technology has offered the perfect balance between flexibility and control. Each resident receives a monthly allotment of complimentary drinks, and SipWithMe tracks usage in real time. After residents exhaust their monthly allowance, they can still enjoy all of their favorite beverages at prices much lower than the local coffee shop.
